Finance Director

We are searching for a Director of Finance to direct the fiscal functions of the firm in accordance with financial management techniques and practices appropriate within the industry and Firm.  This position is based in the firm’s Milwaukee office and requires occasional travel to Brookfield and Green Bay.

Essential Duties and Responsibilities

  • Partners with firm’s leadership on operational and strategic issues, providing recommendations based on financial analysis of projections, cost identification and allocation, and revenue/expense analysis
  • Oversees longer-term budget planning and cost management. Monitors progress of budgets and presents operational metrics
  • Prepares monthly and annual financial statements and management reports
  • Completes monthly, quarterly, and annual compliance certification with banks
  • Ensures financial staff maintains financial record systems in accordance with appropriate principles and monitors the use of funds
  • Manages cash flow and forecasting, directing financial accounting
  • Coordinates responses to requests from external auditors (401k) and tax preparers
  • Prepares detailed reports and evaluations of financial information, including timekeeper performance, fees received, and other ad hoc reports
  • Provides management with recommendations for action and/or modifications regarding financial procedures, plans, and controls
  • Evaluates the existing system, designs new or improved data processing and outlines system change requirements and specifications
  • Maintains financial security by establishing appropriate internal controls
  • Prepares use documentation of financial information systems
  • Ensures accounts payable operations are carried out productively
  • Ensures payroll is processed accurately and in a timely manner
  • Provides support for special projects, financial analysis and other tasks as needed
  • Organizes workflow to ensure that employees understand their duties and delegated tasks
  • Oversees general cash management
  • Responsible for company-wide bank account maintenance and helping to drive cash targets
  • Helps develop uniform approach for accounting group
  • Monitors employee productivity and provides constructive feedback and coaching
  • Participates in an annual performance assessment for Accounting staff

Required Education and Experience

  • Bachelor’s degree in Accounting required
  • Master’s degree in Business, Accounting or related field preferred.
  • Minimum 10 years’ financial experience with at least 5 years in a leadership/manager role
  • CPA licensed required
  • Public Accounting experience preferred
  • Advanced Excel skills required
  • Law firm experience preferred
  • Experience with Elite, law firm trust fund accounting, human resources management systems, and fixed asset systems preferred

Seasonal Tax Preparer

Payroll Coordinator

Davis|Kuelthau s.c. is seeking an experienced Payroll Coordinator.  The Payroll Coordinator performs payroll functions including payroll processing of the biweekly payrolls; payroll tax compliance; time keeping systems, and payroll reporting.

Essential Duties and Responsibilities

  • Responsible for processes associated with ensuring that all employees are paid accurately and timely with the correct withholdings and deductions, as designated.  This includes salary payments, tax withholdings and deductions from paychecks.
  • Responsible for processes associated with accurate and timely payments of taxes and withholdings to applicable governmental agencies and taxing authorities.
  • Track GL codes to ensure expenses are properly allocated.
  • Maintains all payroll records ensuring compliance with legal requirements and satisfactory review by external auditors.
  • Administers 401(k) and defined contribution plan.
  • Responsible for annual disbursement of the defined retirement contribution plan for all employees.
  • Manage IOLTA trusts in compliance with rules and regulations.

Required Education and Experience

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • Five to seven years of progressive directly related experience.
  • Law firm experience preferred.
  • Ability to calculate numbers.
  • Proficiency with Windows-based software and Microsoft Word, Excel and Outlook required.
  • Experience with Elite preferred.
  • Confidentiality regarding sensitive company and employee information required.

Legal Administrative Assistant

We have an opening for an experienced Legal Administrative Assistant. This position will be responsible for performing a wide variety of legal administrative and executive assistant duties at a high level, in support of multiple attorneys and paralegals as outlined below.

Essential Duties and Responsibilities

  • Types, transcribes, revises and proofreads legal documents accurately.
  • Prioritizes assignments and meets deadlines.
  • Coordinates and manages timekeeper’s email, calendars, contact information, tasks or similar communications activities utilizing systems such as Outlook or manual systems.
  • Coordinates the management of phone calls, voice mail messages and conference calls.
  • Prepares and processes new matters, requests conflict check and opens new files.
  • Reviews, scans and routes incoming mail.
  • Proofreads documents for grammatical, spelling and format errors.
  • Edits documents from handwritten notes, transcription and shorthand including comparisons, conversions, merges and creation of tables of content.
  • Maintains paper and electronic files.
  • Works with Records Department to maintain client files.

Requirements

  • Ability to work in collaboration within a group to ensure that internal and external clients are satisfied; including understanding client’s concerns and building trust.
  • Advanced knowledge of Microsoft Outlook, Word, and PowerPoint, with an aptitude for quickly learning various other programs.
  • Excel, Elite, and Worldox experience a plus.
  • Excellent administrative, writing, grammar and proofreading skills.
  • Ability to work independently to find solutions to technical problems.
  • Detail-oriented with strong organizational and time management skills.

Required Education and Experience

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • 3-5 years’ relevant legal assistance experience preferred.
  • Minimum typing speed of 60 words per minute.
